Exploratory discussions – Your goals, plans, challenges & timelines

In the early stages or our relationship, we’ll have a lot more questions  than answers. We need to learn about all of the goals you have for your organization as well as your event before we’re able to provide fitting recommendations.

In the beginning, our job is to leverage experiences in the event production space to draw out ideas that you may not yet have considered.

These kinds of questions help us better understand where you are and where you’re hoping to go. Big picture stuff initially…boring down into granular details as we go. This involves connecting you with specialists on our team who can help you consider all options and achieve best possible outcomes.

Your Goals

If we’re going to be in a position to advise and offer solutions, we need to begin by understanding your overall mission – where you want to be – and how events fit into your business model.

  • What are your overall company goals?
  • What metrics are you using to measure success/failure?
  • How will your events play into your overall company goals?
  • What specifically are your goals for your event?
  • How will we define and measure success?
  • What happens next after you successfully reach those goals?
  • What happens if you are not successful?

Existing Plans

Let’s talk about how you intend to reach your goals. It’s important that we understand your entire ecosystem if we’re going to be able to determine best fit solutions.

  • What are your current plans (if any) for your event?
  • Have you run events in the past?
  • What worked well? What didn’t work well?
  • Who are key stakeholders in your event and what roles do they play?
  • What resources and/or core competencies do you have currently?
  • Who is your audience? Demographics? Interests? Event size?
  • Have you established a budget?

Challenges

Any time we move from Point A (where we are) to Point B (where we want to go), we need to account for any obstacles in our way.

  • Are there any challenges we should know about?
  • Are these challenges controllable or uncontrollable?
  • What can we do to mitigate risks?
  • Have you considered solutions in the past?
  • How did they play out?
  • Are there budgeting challenges?
  • Are there significant gaps in core competencies?
  • Any legal/safety/logistical challenges to seriously consider?

Timelines

Let’s reverse engineer the timeline for all the major benchmarks on our path toward a successful event and beyond.

  • When is your event date?
  • Do we need to fast track any elements?
  • How much setup time is needed on-site?
  • How will event location affect shipping times?
  • When will creative components need to be completed?
  • Are we allocating sufficient lead time in each phase?
  • What timelines are we establishing for performance measurement?
  • What activities will happen after the event & when?

Detailed collaboration: Value engineer for best possible outcome

Once we understand core elements about your event and intentions, we’re better able to participate in planning discussions. We become part of your team, with aligned incentive to find best fit solutions that are going to maximize returns.

It’s vitally important to nail down as many details as we can early on.

Advantages of professional event planning:

1 Value engineering. With clear understanding comes the ability for us to come together on every aspect of your production – saving you money and maximizing returns.

2Surprises are costly. Late-game switches mean that we’re paying more for rush orders, staff, late fees, and other preventable expense line items impacting ROI.

3Focused attention to detail. More lead time on creative elements and infrastructure engineering greatly improves design outcomes while minimizing risk and mistakes.

Vision Collective brings together experts in all aspects of video production based on your requirements. They’ll share ideas, and help you to avoid mistakes. Our role is to work with you to establish crystal clear outlines of every aspect of your event – on time, on budget, and with your ultimate goals at the center of every decision.

It’s far easier to change course in the beginning than it is at the end. No stone is left unturned. You’ll benefit from years of collective experience – an intense understanding of the state of the industry and technology.

Topics of collaboration in include these questions and more:

  • What kind of look & feel will be best suited for you?
  • Who is your intended audience?
  • What messaging is going to resonate?
  • Are there branding requirements?
  • What kinds of presentations and/or entertainment?
  • What topics will be covered?
  • What presentation format(s) are you anticipating?
  • What role will audio/visual elements play?
  • Video, animation, music/sound, staging & set design?
  • Will you be live-streaming your event, or recording?
  • How are you controlling access or advertising your event?
  • How will you leverage event content post production?

Event Planning & Consulting Takeways

At the end of our planning phase, we’ll have collaborated rigorously on every detail of your event. Of course, sometimes plans change – but time spent on strategic planning is perhaps the most valuable of all. You’ll know exactly what, when, where, how and why your event is going to happen.

How will you benefit from strategic event consulting?

  • Allows best possible people to be assigned to every task
  • Brings clarity on plans for execution and next steps
  • Helps everyone involved align around your organizational goals
  • Allows for significant value engineering to maximize ROI
  • Minimizes risk and costly surprises down the line

With a good event plan in place, we’re ready to move forward to curating, creating and designing all of your content – signage, scripting, backdrops, video projections, music and sound, lighting, staging, graphics, and everything else that’s going to make your event shine.
